Presenter View Setup Guide: Laptop Notes, Presenter Monitor & Projector
This guide explains how to display PowerPoint Presenter View, including speaker notes, on both your laptop and a presenter monitor while showing only the presentation slides on the projector.
What Each Screen Should Show
The laptop and presenter monitor must be mirrored or duplicated. The projector must remain an extended display.
Equipment and Connections
Output A: Laptop to presenter monitor.
Output B: Laptop to projector.
Connect laptop AC power, keep the lid open, and select the correct video input on each external display.
Keep the audience output blank or on a safe holding image while configuring the displays.
MacBook Setup
1. Connect both external displays.
Connect the presenter monitor and projector to separate supported video outputs on the Mac or a compatible dock.
Confirm your Mac supports both external displays while its built-in screen remains active.
2. Open display settings.
Go to:
Apple menu > System Settings > Displays
Start with both external screens set as extended displays. Keep the built-in laptop screen as the main display.
3. Mirror only the presenter monitor.
Open Arrange in Displays.
Hold the Option key and drag the presenter-monitor icon onto the built-in display icon.
Leave the projector separate so it remains extended.
Some macOS versions also offer mirroring through the Use as menu. Menu wording can vary.
4. Start PowerPoint Presenter View.
Open the presentation and select:
Slide Show > Presenter View
The laptop and presenter monitor should show the same Presenter View with notes. The projector should show only the presentation slides.
5. Verify the output.
If the views are reversed, select Swap Displays in Presenter View.
Advance several slides and check the actual audience screen to confirm that notes remain private.
Windows PC Setup
Example display numbers:
Your display numbers may differ. Use Identify before choosing which screens to duplicate.
1. Connect both external displays.
Connect the presenter monitor and projector to separate supported video outputs.
For example, use laptop HDMI for the projector and a supported USB-C video adapter for the presenter monitor.
2. Identify your screens.
Go to:
Settings > System > Display > Identify
Record the number shown on each device.
3. Duplicate the laptop and presenter monitor only.
Start with all screens extended.
In Display settings, choose:
Duplicate desktop on 1 and 2
Use your actual laptop and presenter-monitor numbers.
Keep the projector set as an extended display. Apply and keep the changes.
4. Configure PowerPoint.
Open the Slide Show tab.
Enable Use Presenter View.
In the Monitor list, select the projector as the slide-show output.
Select From Beginning or press F5. Some laptops require Fn + F5.
5. Verify the output.
If notes appear on the projector, select:
Display Settings > Swap Presenter View and Slide Show
Confirm the laptop and presenter monitor show notes, while the projector shows slides only.
Recheck Windows display settings if PowerPoint changes the mirror pair when the presentation starts.
Before the Audience Arrives
Troubleshooting
Notes appear on the projector.
Blank the audience output, swap the PowerPoint displays, and confirm the projector is outside the mirror group.
All screens show the same picture.
Check whether the projector is also mirrored or whether an HDMI splitter is repeating one feed.
Only one external screen works.
Check the laptop’s display limit, USB-C video support, dock compatibility, and cables. Some dual-HDMI docks mirror their outputs on Mac.
The picture is cropped or unstable.
Use a format supported by every device, such as 1920 × 1080 at 60 Hz when supported. Check the display’s overscan settings.
The laptop cannot support this layout.
Use a verified compatible dock or adapter, or a different presentation laptop.

Always test the complete setup with the actual laptop, presentation, adapters, monitor, and projector before the event.
This guide explains how to display PowerPoint Presenter View, including speaker notes, on both your laptop and a presenter monitor while showing only the presentation slides on the projector.
What Each Screen Should Show
- Laptop: Presenter View with speaker notes.
- Presenter monitor: An identical copy of the laptop screen, including notes.
- Projector: Full-screen presentation slides without notes.
The laptop and presenter monitor must be mirrored or duplicated. The projector must remain an extended display.
Equipment and Connections
- A laptop that supports its built-in screen plus two external displays at the same time.
- A presenter monitor.
- A projector and projection screen.
- Two independent video outputs through supported laptop ports or a compatible dock.
- Appropriate HDMI, DisplayPort, USB-C video adapters, or other compatible connections.
- Desktop PowerPoint with speaker notes entered in the presentation.
Output A: Laptop to presenter monitor.
Output B: Laptop to projector.
Important: A basic HDMI splitter sends the same picture to both connected displays. It cannot create separate notes and slide views.
Two video sockets on a dock do not always provide independent outputs. Confirm compatibility with the laptop and operating system.
Connect laptop AC power, keep the lid open, and select the correct video input on each external display.
Keep the audience output blank or on a safe holding image while configuring the displays.

Display Settings > Swap Presenter View and Slide Show
Confirm the laptop and presenter monitor show notes, while the projector shows slides only.
Recheck Windows display settings if PowerPoint changes the mirror pair when the presentation starts.
Windows + P alone does not define this mixed setup. Use Display settings to duplicate only the laptop and presenter monitor while keeping the projector extended.
Before the Audience Arrives
- Start the actual PowerPoint slide show.
- Confirm the laptop and presenter monitor display the same Presenter View.
- Check the projection screen to confirm it shows slides without notes.
- Adjust the notes font size so the presenter can read comfortably.
- Test the clicker and next/previous slide controls.
- Test embedded videos and audio through the room sound system.
- Enable Focus or Do Not Disturb.
- Prevent the laptop from sleeping during the event.
- Keep the laptop connected to power with the lid open.
- Secure connections and route cables safely.
- Recheck every screen after changing a cable, adapter, or dock.
